    A Senior Proposal Coordinator is responsible for researching and developing complex proposals and comprehensive Proposal Management Plans and working collaboratively with team members, subject matter experts (SME), other proposal coordinators and relevant stakeholders throughout the proposal development process.



    Essential Duties and Responsibilities:

    1. Lead proposal initiatives in accordance with department processes and best practices with a demonstrated ability to identify appropriate content, as well as content gaps, ensuring timely submission of accurate and compliant responses.
    1. Research proposal responses with internal SMEs and analyze responses to individualized requirements and evaluate compliance with request for proposal (RFP) requirements and department and company standards.
    1. Develop and apply subject matter expertise in assigned product and services markets and collaborate with stakeholders including but not limited to Regional Sales Managers, election services, voter certification, finance and legal representatives and related subject matter experts (SME) to assure timely and accurate completion of required bid related forms including bid bond form, proposed configuration form and final proposal.
    1. Customize existing content to reflect specific client requirements within required timeframe while identifying requirements for new content. Develop and execute consistent company identity through document templates, letterhead and logo usage.
    1. Coordinate production of bid proposal including developing first draft responses, generating subsequent drafts through final edition, track/report project status relative to project milestones, printing, binding, collating, shipping and distribution of final copy and archive in proposal files.
    1. Assist department manager in developing continuous process improvements focused on improving our competitive bids and enhancing our RFP responses management and maintain updated database information, modular materials and proposal boiler plate documents.

    Education:  Must have a bachelor’s degree, Journalism, Business; Marketing or related field



    At least 6 years experience including:

    3-4 years experience with technical proposal coordination requiring attention to detail and sense of urgency

    2-3 years experience writing technical proposals in response to state and local government solicitations

    Sales experience preferred 



    Advanced skill level in writing, editing, proofreading and coordinating

    Exceptional organizational and time management skills

    Subject matter expert in sales proposal research and development

    In- depth knowledge of product technologies

    Ability to work in a deadline driven environment

    Strong capacity to communicate verbally and in writing to all levels of the organization

    Good problem solving ability


    Licenses/Certifications Required:  Project Management Professional certification preferred but not required


    Supervisory Responsibilities:  This position will provide guidance to less experienced proposal coordinators


    Work Environment:  This job operates in a professional office environment which routinely uses standard office equipment such as computers, telephones, and photocopiers.

    Travel:  Approximately <10%% travel is expected.


    Security:  Required to consistently demonstrate adherence to all security requirements and accepted practices as contained in the current ES&S Security Policy.  Incumbents must proactively read, comprehend and adhere to all ES&S security policies, practices and procedures regarding the safety and safekeeping of co-workers, products, services and other intellectual property as defined in the ES&S New Business and Non-disclosure, or Proprietary matters, Confidential matters and Non-Competition agreements, and the current ES&S Security Policy Manual.
