Job Description

The Marketing and Event Coordinator is responsible for promoting the ES&S brand through event management and marketing campaigns. This role is responsible for customer event activities including the planning, budgeting, and coordination.  The individual in this role must be an organized and energetic individual who is highly motivated with a passion for detail.

 

Essential Duties and Responsibilities:  

  1. Maintains an annual event plan
  2. Writes messaging for use in marketing and event collateral
  3. Monitors inventory of marketing and sales materials, manages printing needs and coordinates with vendors. Manages vendor relationships.
  4. Coordinates the shipment of marketing materials to customers, tradeshows, conferences and demonstrations
  5. Researches and identify suitable event locations to coordinate all on-site arrangements for events
  6. Assists with preparing budgets and provide periodic progress reports to director
  7. Tracks event finances including check requests, invoicing, and reporting
  8. Negotiates contract details and pricing for potential events and submits to management team
  9. Attends events and supports sales staff, on average four times a year
  10. Prepares nametags, materials, notebooks, packages, gift bags, registration lists, seating cards, etc. for major company events
  11. Assists with data entry, clean-up of customer data and reporting in email marketing platform
  12. Distributes emails sent to company email inbox to subject owners
  13. Assists with administrative functions for Government Affairs
  14. Works closely with multiple departments to ensure customer satisfaction

Qualifications:

 

 

Education:  Bachelor’s Degree or a minimum of 4 years directly related experience required.

 

Experience:       

At least 2-3 years experience including:

Event Coordination

Administrative Support

Calendar management

Expense reporting

 

Competencies:

Excellent organizational and planning skills

Strong written communication skills with the ability to clearly communicate information effectively

Extraordinary attention to detail

Ability to work in a fast paced, dynamic environment with numerous, overlapping priorities

Ability to work with limited supervision

Occasionally required to work outside established work hours due to business needs (May include evenings and/or weekends as required per event)

Fantastic customer service ethics and high expectations for quality

Computer Skills - Proficiency required in MS Office Suite, PDF, Adobe, required. 

Familiarity with Adobe CS is a plus.

Mathematical/Logic/Reasoning Ability - Basic mathematical skills required in a typical office environment

Supervisory Responsibilities:  This position has no supervisory responsibilities.

 

Work Environment:  This job operates in a professional office environment which routinely uses standard office equipment such as computers, telephones, and photocopiers.

 

Physical Demands:  The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.  While performing the duties of this job, the employee is regularly required to talk or hear.  The employee frequently is required to stand; walk; hands to finger, handle or feel; and reach with hands and arms.  Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus. 

 

Travel:  Approximately <10% travel is expected

 

Security:  Required to consistently demonstrate adherence to all security requirements and accepted practices as contained in the current ES&S Security Policy.  Incumbents must proactively read, comprehend and adhere to all ES&S security policies, practices and procedures regarding the safety and safekeeping of co-workers, products, services and other intellectual property as defined in the ES&S New Business and Non-disclosure, or Proprietary matters, Confidential matters and Non-Competition agreements, and the current ES&S Security Policy Manual.
