Job Description

A Coordinator I, Proposals is responsible for support activities to assure requests for proposals (RFP) are properly researched, disseminated to stakeholders, organized, and tracked and in compliance with solicitation requests.

 

Essential Duties and Responsibilities:

  1. Support the request for proposal (RFP) bid process by analyzing the bid, developing a comprehensive bid profile, disseminating bid to stakeholders, and accomplishing assigned tasks that present of company and product and service offerings in the best competitive position complying with proposal deliverables checklist and compliance matrix.
  1. Collaborate regularly with stakeholders including but not limited to Regional Sales Managers, professional services, finance and legal representatives and related subject matter experts (SME) to assure timely and accurate completion of required bid related components such as cover letter; executive summary; bid responses and documents; forms and requirements specific a bid like bid bonds, insurance requests, etc.; and ultimately the final proposal.
  1. Assist with the production of bid proposal including developing first draft responses, generating subsequent drafts through final edition, track/report project status relative to project milestones, printing, binding, collating, shipping and distribution of final copy and archive in proposal files. Edit bid documents for grammar, spelling, consistency, and departmental style.
  1. Assist department manager in developing continuous process improvements focused on improving our competitive bids and enhancing our RFP responses management and maintain updated database information, modular materials and proposal boiler plate documents.

Qualifications:

 

Education: Must have a bachelor’s degree, Journalism, Business communications; Marketing communications or related field

Experience:          

Up to 2 years experience including:

Experience with technical proposal coordination requiring attention to detail and sense of urgency

 

Competencies:    

Skilled in writing, editing, proofreading and coordinating

Ability to develop an in- depth knowledge of product technologies

Strong capacity to communicate verbally and in writing to all levels of the organization

Good problem solving ability

 

Licenses/Certifications Required:  None

 

Supervisory Responsibilities:  This position has no supervisory responsibilities.

 

Work Environment:  This job operates in a professional office environment which routinely uses standard office equipment such as computers, telephones, and photocopiers.

 

Physical Demands:  The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.  While performing the duties of this job, the employee is regularly required to talk or hear.  The employee frequently is required to stand; walk; hands to finger, handle or feel; and reach with hands and arms.  Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

 

Travel:  Approximately <10%% travel is expected.

 

Security:  Required to consistently demonstrate adherence to all security requirements and accepted practices as contained in the current ES&S Security Policy.  Incumbents must proactively read, comprehend and adhere to all ES&S security policies, practices and procedures regarding the safety and safekeeping of co-workers, products, services and other intellectual property as defined in the ES&S New Business and Non-disclosure, or Proprietary matters, Confidential matters and Non-Competition agreements, and the current ES&S Security Policy Manual.
